Privacy Policy
1. Who we are
PivotSolvo is provided by Pivot Practice Technologies, LLC, a Georgia limited liability company located in Alpharetta, Georgia ("PivotSolvo," "we," "us"). This policy explains what information the PivotSolvo platform and this website collect, how we use and protect it, and the choices available to you.
2. Who this policy covers
PivotSolvo is a business service for accounting firms ("Firms"). It is used by a Firm's staff and, when a Firm invites them, by the Firm's own clients. A Firm decides which of its clients' records are connected to PivotSolvo. In handling a Firm's client data, we act as the Firm's service provider and process that data on the Firm's instructions. If you are a client of a Firm and have questions about your information, please contact your Firm first.
3. Information we collect
- Account information. Name, work email address, Firm name and role, supplied by the Firm or by you when an account is created. We do not allow people to sign themselves up; accounts are created by us or by a Firm.
- Sign-in information. Sign-in is handled through Microsoft Entra External ID, with a one-time code sent to your email as a second step. We do not see or store your password.
- Accounting data from QuickBooks Online. When a Firm connects a client's QuickBooks Online company through Intuit's authorization screen, we receive the accounting information the Firm authorizes, such as the chart of accounts, transactions, and financial reports.
- Documents. Files a Firm or client uploads to the platform.
- Work records. The findings, proposed entries, approvals, and activity records the platform creates as it runs, including who approved what and when.
- Technical information. Logs of requests to the service, used to run, secure, and troubleshoot it. These logs record identifiers and outcomes, not the contents of client documents.
4. How we use information
We use information only to provide, secure, support, and improve the service for the Firm that supplied it, to meet legal obligations, and to communicate with account users about the service. We do not sell personal information, and we do not use client accounting data for advertising.
5. QuickBooks and Intuit data
- A Firm connects a QuickBooks company by signing in on Intuit's own authorization screen. We never receive the QuickBooks password.
- We request only the accounting permission needed to read and, where approved, post to the books.
- PivotSolvo reads data by default. A change to a client's books is made only after an authorized person at the Firm has reviewed and approved it. Each approval and each posted change is recorded.
- Connection credentials are stored in a secured vault, separate from client data, and are never shown in the product.
- A connection can be ended at any time, from within PivotSolvo or from the Firm's QuickBooks account. When it ends, we stop retrieving data and discard the connection credentials.
6. Use of AI
PivotSolvo uses artificial intelligence to analyze accounting data and to draft findings and proposed entries. AI output is a proposal for a qualified professional to review; it is not applied without that review. We do not train our own models on Firms' client data.
7. Who we share information with
We share information only with service providers that help us operate the platform, under confidentiality and security obligations, and as required by law. Our main providers include Microsoft (cloud hosting, identity, and AI services running in our Microsoft Azure environment) and Intuit (to connect to QuickBooks Online). We may also disclose information to respond to lawful requests, to protect rights and safety, or in a merger or sale of the business, in which case the Firm's data would remain protected by this policy. We never share one Firm's data with another Firm.
8. Security
- Each Firm's data is kept in its own separate database; one Firm cannot see another's.
- Data is encrypted in transit and at rest.
- Access is limited by role, requires multi-factor sign-in, and is logged.
- Sensitive credentials are held in a managed secrets vault.
- We can pause a single Firm or the entire platform immediately if a problem is detected.
No system is perfectly secure. If we learn of a security incident affecting a Firm's data, we will notify the Firm without unreasonable delay.
9. Retention and deletion
We keep a Firm's data while its subscription is active. After the subscription ends, we return or delete the Firm's data within 90 days of a written request, except for records we must keep by law or for security and audit purposes, which stay protected until they are no longer needed. A Firm may ask us at any time to delete a specific client's data.
10. Your choices and rights
You may ask your Firm to correct or delete your information. You may also write to us at the address below. Where the law gives you additional rights, we will honor them or direct you to the Firm responsible for your data.
11. Children
PivotSolvo is a business service and is not intended for anyone under 18. We do not knowingly collect information from children.
12. Changes to this policy
We may update this policy as the service changes. The date at the top shows the latest version, and we will tell Firms about material changes.
